Privacy Policy

Pool Guy Pilot (the “Service”) is operated by ALSTIG INC. This policy describes what data the Service collects, how it is used, and the rights you have over it. The Service is available as a web application at poolguypilot.com, as a native iPhone app, and as a native Android app. This policy covers all three.

Who this policy is about

Pool Guy Pilot is used by pool service operators (the “Operator”) to manage their own customers. This policy covers data collected about the Operator. Operators are responsible for their own customers’ data under their own privacy practices — Pool Guy Pilot acts as a data processor for that customer data.

What we collect

Account data: email address (used for passwordless, magic-link sign-in — we never use or store a password), operator name, business name, business contact details, service area, billing preferences.

Service data you enter: customer records (name, address, contact, equipment, service preferences), visit logs (chemistry readings, notes, photos), recurring jobs, invoices, payment status.

Camera and photo library (iPhone and Android): photos you explicitly capture or select during a visit. Photos are uploaded to our storage and may be sent to our AI processor (Anthropic) to extract chemistry readings from test strips or test kits. Photos are not used for any other purpose and are not shared with anyone else.

Microphone (iPhone and Android): audio you explicitly record using the voice-note feature. On iPhone, transcription happens on-device using Apple’s Speech framework — raw audio is not uploaded. On Android the app requests the device’s offline recogniser, but Android may fall back to Google’s speech recognition service depending on the device and its installed language packs, in which case the audio is handled by Google under their terms. In both cases, only the transcribed text is uploaded to us and saved with the visit — we never receive the audio.

Location (iPhone and Android): your device location while you are actively using the route features, so the app can offer turn-by-turn deep links to the next stop and order your stops from where you are. Android requests approximate (coarse) location only. Location is not tracked in the background and is not retained on our servers.

Push notification tokens (iPhone only): if you enable push notifications, your device’s Apple Push Notification token is stored so the Service can send you alerts about payments and customer activity.

Server logs: standard request logs (IP address, user agent, timestamp, route accessed) retained for up to 30 days for security and debugging.

How we use it

To operate the Service: authenticate you, store and serve your data, deliver AI-assisted features (chemistry extraction, brief generation, assistant), send transactional email and push notifications, process payments through your connected Stripe account, and route your work day.

We do not sell your data and we do not use your data to train any AI model.

Third-party processors

The Service uses the following processors. Each receives only the data needed to perform its function:

• Supabase — database, authentication, file storage
• Cloudflare — hosting, DNS, edge functions, CDN
• Anthropic — AI processing of chemistry photos and service notes
• Resend — transactional email delivery
• Stripe — payment processing (you maintain your own connected Stripe account)
• Apple Push Notification Service — iOS push delivery
• Google Maps Platform — map rendering and routing on the web and Android apps
• Apple Maps — map rendering and routing on the iOS app

Data retention

We retain your account and service data for as long as your account is active. If you delete your account (see below), all personal data and service data is hard-deleted within 30 days, except where retention is required to comply with law (e.g. payment records for tax purposes).

Account deletion

You can delete your account at any time:

• iPhone app: Settings → Account → Delete Account. This immediately removes your account and all associated data.
• Android app: Settings → Account → Delete Account. Same immediate removal.
• Web app: Settings → Delete account. If your trial or subscription has lapsed you will land on the subscribe screen instead — the same “Delete my account” option is there, so you never have to pay in order to leave.
• Backup path: email poolguy@alstiginc.com from the address on file. We process deletion within 7 days.

Children

Pool Guy Pilot is a business tool not intended for use by anyone under 18. We do not knowingly collect data from children.

Security

Data in transit is encrypted with TLS. Data at rest is encrypted by our storage provider. Sign-in is passwordless — we use one-time magic-link codes and never store or transmit passwords. We do not have access to the customer data in your operator account except as needed to provide support you request.

Changes to this policy

We will post any updates here and update the “Last updated” date. Material changes will be communicated by email.
